Job Overview:

The Installer Support Administrator plays a key role in supporting installation teams by coordinating schedules, managing documentation, and ensuring seamless communication between the field, customers, and internal departments. This position is critical to keeping projects on track, installers informed, and customers satisfied.


Key Responsibilities:


Scheduling & Coordination

  • Schedule installation jobs based on technician availability, location, and project priority
  • Communicate scheduling changes or delays to both field teams and customers in a timely manner.

Installer Support

  • Provide instructions to installation crews
  • Coordinate permit documentation, inspection dates, and paperwork.
  • Ensure HVAC jobs meet regulatory requirements (e.g., mechanical permits, energy efficiency standards).
  • Track inventory usage and report shortages or issues to the operations or warehouse team.

Communication & Documentation

  • Act as the point of contact for field crews regarding job-specific information or issue
  • Update project records in CRM and project tracking system
  • Maintain detailed logs of job progress, installer notes, and completed checklists.

Customer Service Support

  • Support pre-installation communication with customers regarding site readiness, scheduling, and expectations.
  • Handle customer questions or minor concerns during the installation phase with professionalism.

Compliance & Reporting

  • Ensure all installation documentation complies with local building codes, utility guidelines, and internal quality standards.
  • Assist with closing out jobs, ensuring completed documents, photos, and signoffs are received from installers.

Skills and Qualifications:

  • 1–3 years of administrative or operations support experience, ideally in HVAC, solar, construction, or related industries.
  • Strong organisational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office.
  • Familiarity with permitting processes and utility regulations.
  • Ability to remain calm and solutions-focused under pressure.
  • Prior experience supporting HVAC or solar installers.
  • Detail-oriented with a proactive approach to preventing delays or errors.
  • Customer-focused with a team-player mindset.
