A Reservations Coordinator will serve as a main contact for room reservations based on individual and group bookings up to 170 rooms at the hotel; and therefore, must offer an excellent service and influence the Guest decision to stay at the property.
What will I be doing?
As a Reservation Coordinator you will serve as the first line of inquiry for room reservations within the hotel. A Reservation Supervisor is responsible for offering excellent customer service, options, and other solutions to meet Guest and customer needs. Specifically, a Reservations Supervisorwill perform the following tasks to the highest standards:
- Convert, quickly, inquiries into contracted business
- Check Previous Day reports: RMY/ Comp Rooms/ Book Outs/ Cancellations; No Shows
- To be actively involved and participate in the weekly revenue call reporting on the above
- Build SRP’s and packages for the events team and communicating any new SRPs.
- Build strong relationships with customers, Guests and Team Members in order to gain full understanding of their needs and work to serve them effectively
- Adhere to the events and group yield policy in order to maximize revenue
- Maximise hotel revenue with conversion and upselling
- Respond, promptly and positively, to sales inquiries to develop future sales leads
- Identify sales leads for sales manager to follow up on.
- Attend commercial meetings, monthly and quarterly
- Action any pre arrival requests; utilising Kipsu, leaving traces and maintain clear consistent communication with Front Desk
- Action Res Checks 1day/3day/ 7 days
- Manage hotel over booking levels, cancellation fees such as late cancelled and no shows.
- Main point of contact for groups desks and all group tour bookings, gain new leads when spotting things on RMY.
- Create contract and BEO’s for all group accommodation bookings
- Liaise with third party agents i.e. Spa breaks, Holiday extras for booking queries, new package and SRP details and to communicate black out dates. Extranet checks for all 3rd parties
- Updating the spa spreadsheet
- Ensure accuracy of all bookings – standard contracts signed and clear billing details received
- To ensure accurate and up to date customer records are maintained
- To manage customer satisfaction post event and resolve any outstanding issues and secure future sales leads
- Daily reception meeting & weekend brief
- Overseeing R & I
Required:
- Previous ONQ knowledge
- Experience in a similar role
