Join Gear4music’s Recruitment Team as an Onboarding Recruitment Coordinator and play a vital role in ensuring a seamless and compliant experience for every new hire joining our Customer Service and Warehouse teams.

What You’ll Be Doing
- Preparing and issuing job offer paperwork including offer letters, contracts, and new starter forms.
- Scheduling and coordinating interviews
- Monitoring the return of onboarding documents and following up where needed to meet deadlines.
- Collecting and verifying Right to Work documents in line with legislation.
- Organising start dates and supporting with onboarding communications and checklists.
- Keeping applicant and new starter records updated accurately in our Applicant Tracking System (ATS).
- Producing reports and trackers to support recruitment progress updates.
- Working closely with the team to support our weekly assessment centres—creating a welcoming, well-organised experience for candidates and ensuring all logistics and paperwork run smoothly.
- Helping maintain a compliant and auditable onboarding process at all stages.
What We’re Looking For
You don’t need recruitment experience, just a positive attitude and a willingness to learn. Here are some of the qualities that will help you succeed:
- Good organisational and administrative skills with confidence using Outlook, Word and Excel.
- High levels of accuracy and attention to detail, especially when managing paperwork and sensitive data.
- Friendly, confident communicator—both verbally and in writing.
- Self-motivated and collaborative team player who brings energy and reliability.
- Calm under pressure in a fast-paced, deadline-driven environment.
- A proactive approach to problem-solving, with a keen eye for process improvements.
- Trustworthy and professional when handling confidential information.
A Few Things to Note:
- This is a split-site role, so you'll need to be able to work from both our Clifton Moor and Holgate locations in York.
- Due to the nature of our peak season, annual leave will be restricted during the contract period.
