About this opportunity
The Fleet Services Team undertakes an essential role to ensure a safe and legal operation of the Council’s fleet, which is inclusive of vehicle and plant machinery. This assists in ensuring that the Council is able to fulfil its legal and moral obligations with respect to the provision of a wide range of statutory services and the fleet required to deliver these functions.
The Team is responsible for a mixed fleet including waste and recycling, street scene, pool cars, gritters, tipper trucks, coaches, minibuses, library vans and fire appliances. The Team also maintains in excess of 1,000 items of plant including trailers, mowers and other power tools. The Team is responsible for the provision of a fleet management service including the procurement of bulk fuel, fuel cards, the provision of vehicle telematics, administration of the pool cars scheme, vehicle insurance and taxing and support with procurement exercises.
In addition, the Team fulfils a fleet compliance function to ensure that the Council’s vehicles and drivers are compliant with the relevant legislation and guidance.
Purpose of this post
To support the establishment, coordination, management, and delivery of specific Transport and Fleet Management projects by undertaking a range of operational, compliance, and administrative tasks that ensure efficient, safe, and cost-effective fleet services across the organisation.
Key job specific accountabilities
- Coordinate and process fuel orders across depots using Fleets maintenance and workshop management system; Assetminder, ensuring accurate stock levels and timely deliveries.
- Manage data within the Assetminder system, including supplier updates, purchase order creation, and job card processing for workshop operations.
- Generate and analyse weekly Smarter Driver reports using the vehicle tracking and mobile workforce management software application; Masternaut, escalating any identified issues to relevant managers.
- Support compliance by communicating vehicle defects to the Large Goods Vehicle Transport Manager and overseeing rectification tracking.
- Facilitate the invoicing process by liaising with suppliers and the central payments team to resolve queries and ensure timely payments.
- Investigate and process vehicle insurance claims, liaising with claims teams and providing required documentation and vehicle details as required.
- Administer pool car systems, including new user setup for licence checks and booking platforms such as Co-Wheels.
- Act as the primary liaison with external suppliers for vehicle maintenance, ensuring issues are logged, resolved, and followed up effectively.
- Manage fuel card issuance for new and existing users and maintain accurate tracking records.
- Maintain the Fortress fuel management system, including updating stock levels and issuing or cancelling fuel fobs as necessary.
This role is a hybrid role with the expectation that there is a minimum of three days spent from the teams dedicated office space at Skirsgill Depot in Penrith, with the ability to work from home up to two days a week.
