We are looking to recruit an Assistant Timetabling Officer with strong organisational, communication and team working skills, a dedication to providing outstanding customer service and experience using databases in the completion of detailed administrative processes. In this role, you will play a crucial part in the delivery of timetabling services in the University, contributing significantly to enhancing both the student and staff experience. We are looking for candidates who can demonstrate strong time management skills, keen attention to detail as well as experience working effectively with diverse teams.

Main duties and responsibilities
As an Assistant Timetabling Officer with our Teaching Accommodation Service, your primary focus will be on completing timetabling processes in coordination with other members of the team and communicating with stakeholders across the university. This involves ensuring the implementation of agreed timetabling processes, KPIs, maintaining productive relationships with key contacts, and delivering timely and accurate timetables for students and staff.

In your role, you will contribute to the development of the service to improve the student experience while ensuring that processes are efficient and consistent across the team. You will also support the promotion of good practice amongst the team through the sharing of ideas and ways of working.

Collaborating with colleagues in various areas, you will ensure all teaching and learning spaces are operational and fit for purpose, updating the timetabling system as necessary. You will also contribute to the efficient use of teaching spaces to improve the student experience and support the University’s growth.

Skills and experience required
Good organisational skills are essential for successfully coordinating various parts of the timetabling process. This includes the ability to prioritise tasks, working independently as well as part of a team, and being solution focused.

Effective communication skills are crucial for establishing and maintaining positive relationships with key stakeholders, including school contacts, professional services, and senior managers. Collaborating seamlessly with colleagues and providing clear guidance to users in the form of training, user guides, and support is integral to the role.

Technical proficiency in utilising various databases and systems is a key requirement. The Assistant Timetabling Officer should be adept at efficiently navigating systems (training on University systems will be provided) to ensure timetables contain accurate timings, booked teaching space and assigned staff, as well as allocating students to the correct study groups. Additionally, strong analytical skills are essential for monitoring data and producing reports to contribute to the continuous improvement of business processes.

Flexibility and adaptability to team and workload requirements are valuable attributes, given the varied demands of the role, especially during peak periods, such as the start of the academic year. Overall, a keen attention to detail, problem-solving capabilities, and a commitment to maintaining high service standards contribute to success in this integral role within the Teaching Accommodation Service.

Qualifications required
Hold a minimum of A levels or equivalent, or proven experience
