The Role
As a secretary at Jones Whyte, you will provide key administrative support to the legal teams with a focus on basic audio typing and handling incoming and outgoing correspondence. You will work closely with the other legal secretaries to respond promptly to dictation requests from fee earners, ensuring cases are moved along efficiently. Additionally, you will liaise with clients and third parties via calls and emails to understand and manage requests in line with the case handler's requirements.
You will have the direct support of a highly experienced legal secretary and Business Support Manager whilst also working alongside other legal secretaries and legal assistants.

Key Responsibilities:
- Transcribe dictated notes, letters, and documents accurately and promptly using basic audio typing equipment or software.
- Make and receive telephone calls to/from clients and other third parties to obtain or follow up on required records or information.
- Maintain a log of all chases made and follow-ups required.
- Ensure professional and courteous communication at all times.
- Draft routine correspondence.
- Manage diaries, schedule appointments, and book meetings as needed.
- Monitor shared inboxes and distribute emails as appropriate.
- Input and update information into internal systems accurately.
- Scan, copy, and prepare documents for use or submission.
- Maintain confidentiality and data protection in line with company policies.
Requirements:
- Previous secretarial or administrative experience.
- Proficiency in Microsoft Office (Word, Outlook, etc.).
- Confident telephone manner and good communication skills.
- Excellent attention to detail and organisational skills.
- Ability to manage multiple tasks and prioritise workload.

Desirable but Not Essential:
- Experience in a legal and/or professional services environment.
- Familiarity with case management systems or CRM databases.
- Basic audio typing skills (minimum 4050 wpm).
