Job Overview
We are seeking a professional and friendly Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires a keen attention to detail, excellent organisational skills, and the ability to multitask in a busy office environment.
Duties
- Greet and welcome visitors in a warm and professional manner.
- Answer and direct phone calls using proper phone etiquette.
- Manage incoming and outgoing correspondence, including whatsapp, emails and postal mail.
- Perform clerical duties such as data entry, filing, and maintaining office supplies.
- Assist with scheduling appointments and managing calendars for staff members.
- Maintain an organised reception area, ensuring it is tidy and presentable at all times.
- Utilise Microsoft M365 for document creation and management.
- Support the administrative team with various tasks as needed, including using Excel for basic financial record keeping.
Skills
- Strong clerical skills with a focus on accuracy in data entry.
- Proficiency in Microsoft applications (Excel, Word, Outlook, etc.) is essential.
- Familiarity with office equipment such as printers, scanners, and telecommunication systems.
- Excellent organisational skills with the ability to prioritise tasks effectively.
- Strong phone etiquette and communication skills to interact professionally with clients and colleagues.
- Ability to type efficiently and accurately while managing multiple tasks simultaneously.
