Role Overview: The Property Management Coordinator will support our block management team in the administration of approximately 90 residential developments and estates. This role requires exceptional organisational skills and attention to detail, as you will be responsible for managing critical documentation, coordinating maintenance activities, and ensuring compliance with relevant legislation. The successful candidate will be based in our camden office 4 days per week, with flexibility for remote work on other days.
Key Responsibilities:
- Administrative Support: Assist the block management team with day-to-day administrative tasks, including managing correspondence, maintaining property records, and updating internal systems.
- Documentation Management: Oversee the preparation and distribution of essential documents such as service charge budgets, Section 20 notices, and AGM minutes
- Compliance Monitoring: Ensure all properties comply with current health and safety regulations, fire safety standards, and other relevant legislation.
- Maintenance Coordination: Schedule and coordinate routine inspections, organise maintenance works, and liaise with contractors to ensure timely completion of tasks.
- Client and Resident Liaison: Serve as a point of contact for leaseholders and residents, addressing enquiries and resolving issues promptly to maintain high levels of satisfaction via email and telephone.
- Meeting Organisation: Arrange Annual General Meetings (AGMs) and other client meetings, preparing agendas, refining Minutes, and following up on action items.
Qualifications and Experience:
- Education: GCSEs (or equivalent) in English and Maths at grades A*-C; further education in property management or a related field is advantageous.
- Experience: Previous experience in property or block management is preferred but not essential; strong administrative background is required.
- Skills:
- Excellent organisational and time-management abilities.
- Strong attention to detail, particularly concerning legal and financial documentation.
- Proficiency in Microsoft Office Suite and property management software.
- Effective communication skills, both verbal and written.
- Ability to work independently and as part of a team.
- Familiarity with property-related legislation and compliance requirements is desirable.
