Overview
Looking for a Personal Assistant to the director of a small construction firm to help grow and organise the business better. Would be working alongside director to implement new procedures and help with day to day diary and running of jobs. Due to the small scale of business flexible working hours and remote working is available but would be thinking between 10:00-14:00 Monday - Friday although this can be flexible and agreed before start date.
Responsibilities
- Provide comprehensive administrative support, including managing schedules and appointments.
- Perform data entry tasks accurately and efficiently using various software applications.
- Maintain organised filing systems and ensure all documents are up-to-date.
- Assist with bookkeeping tasks using Xero, including invoicing and expense tracking.
- Handle incoming calls with professionalism, demonstrating excellent phone etiquette.
- Utilise MacBook for document creation, spreadsheets, and presentations as required.
- Coordinate meetings, prepare agendas, and take minutes during discussions.
- Support office management tasks to ensure a well-functioning working environment.
Experience
- Proven experience in an administrative or clerical role is preferred.
- Proficiency in Xero and Mac is highly desirable.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent written and verbal communication skills.
- Familiarity with office equipment and basic IT troubleshooting is advantageous.
- A proactive approach to problem-solving with strong attention to detail.
