Job Description

We are seeking an enthusiastic PA to provide secretarial support to the Head of Innovation and Payment Policy Division (Emma Butterworth), and 2 Senior Managers, (Magda Rutkowska and Pavel Chichkanov). This would suit an ambitious PA who is looking to develop their existing skills and gain a wide experience working in a busy office. The jobholder would form part of a wider team supporting the directorate.

The role is to support the HoD and Senior managers lead on all aspects of running the Division, taking on tasks such as organising divisional away days, budget tracking, expenses, events, and senior management meetings.

This is an exciting position with a varied and interesting workload with opportunities to display your own initiative. You will have the chance help develop the division’s processes and infrastructure, including how new technology like M365 and Co-Pilot can be leveraged, to ensure it runs smoothly and efficiently and is a great place to work.

The support team is self-covering so the jobholder will be required to help cover absences on the unit, including covering the Executive Director PA role.

You would be responsible for:

  • Diary management for the HoD and senior managers, dealing with meeting requests and clashes, using judgment on which meetings take priority, ensuring effective management of their time.
  • HoD Inbox management daily and manage the in-box in their absence. This will involve exercising good judgement as to what can be taken care of yourself, what the HoD should see and delegate where appropriate on to other members of the Division.
  • Experience using Microsoft 365 software (For example List, Form, SharePoint, Power Automate, CoPilot)
  • Working with the HoD to keep the division running on track - highlighting outstanding actions/queries as well as outgoing actions to ensure that all deadlines are met, chasing where appropriate.
  • Assisting with recruitment processes – for example, arranging interviews and preparing interview packs.
  • Completing processes for new joiners, movers and leavers.
  • Leading on establishing and helping the division adopt new processes and tools – in particular, M365 application, automating and streamlining processes using your judgment and new technologies.
  • Organising travel, process expense claims and support other administrative duties and budget tracking through the year.
  • Building out the infrastructure and processes for the division more broadly, working closely with the management team, the rest of the support unit and the COO.
  • Working closely the other PAs to support the division as a whole.
  • Depending on your skills and interests, managing the team PA.

Minimum Criteria

You should be:

  • Strong organisational, prioritisation and time management skills with the ability to work in a structured way to a high standard against sometimes tight deadlines.
  • Adaptable and able to take care of issues quickly and efficiently.
  • Reliable and good at getting things done to a high standard and sometimes against tight deadlines.
  • Flexible and willing to tackle new challenges.
  • A team player with excellent interpersonal skills and able to build good working relationships and networks
  • Proficient in use of Microsoft applications: OneNote, Word, PowerPoint, Teams, Outlook
  • Curious about new tools and technologies, how to embed them effectively and get the most out of them
  • Sensitive when handling confidential data, maintaining a high degree of discretion
  • Excellent interpersonal skills and the confidence and gravitas to liaise with senior stakeholders. Able to build and maintain good working relationships and networks,
  • High level of accuracy and a good attention to detail.

Desirable Criteria

  • Experience of having covered at HoD level or above.
  • Taking minutes of meetings
  • Basic MS Excel skills.
