About the role
We are seeking a proactive and detail-oriented Operations Support Lead to join our team. This role is critical in driving transparency, accuracy, and coordination across key operational functions, including reporting, purchase order management, stock monitoring, and invoicing.
The successful candidate will act as the central link between Client Account Managers, the Planning & Resource Team (PRT), and the Finance Team, ensuring clear communication with both internal and external stakeholders. The role requires a strong focus on aligning workflows, maintaining timely processes, and ensuring all outputs are audit ready.
This role reports directly to the Planning and Resource Manager within PRT and works cross functionally with Client Account Managers, Finance, and other operational stakeholders.
Duties and responsibilities
- Communicate effectively with clients and key internal stakeholders to ensure smooth coordination and accurate documentation.
- Support Client Account Managers with purchase order requests and job file alignment.
- Coordination and control of stock. (Responsible for supplier relationships and Operational end to end processes).
- Liaise with Finance to ensure PO documentation aligns with invoicing requirements.
- Maintain and improve reporting tools and trackers using Excel.
- Utilise Monday.com and workflow management platforms to manage tasks and provide visibility across the board.
- Identify process gaps and support continuous improvement initiatives.
- Acting as an escalation point for enquiries from Customers/Clients.
- Ensure compliance with Data Protection Procedures at all times.
Location and working hours:
- Full-time position (37.5 hours per week).
- Office location: Stuart House, Peterborough (PE1 5DD)
- Flexibility to work from home as agreed with line manager (following qualifying period)
Required skills and attributes:
- Strong attention to detail and excellent organisational skills.
- Excellent numeracy and written communication skills.
- Confident communicator, able to engage professionally with both clients and internal stakeholders.
- Ability to work independently and collaboratively within a team.
- Ability to multitask and prioritise effectively in a fast-paced environment.
- Advanced Excel skills, including pivot tables, formulas, and data validation.
- Experience with Monday.com or similar workflow/project management platforms.
Desirable:
- Working knowledge of SAGE 2000 or similar financial systems.
