Role Summary

The Business Support Officer - Operations will work as part of the Operations Directorate.

The Operations Directorate is responsible for Housing Management, Maintenance and the

operational delivery of Heritage Conservation, Landscape and Public Space Management,

Estate Management, Resident and Community Engagement, Customer Service at

reception, Cleaning and Security issues.

The Business Support Officer - Operations will maintain relevant administrative systems

and be responsible for creating and monitoring reports efficiently and effectively to support

PSVT’s delivery of conservation and maintenance programmes.

The Business Support Officer – Operations will provide administrative support to the

Housing Officer for the viewing and letting of properties to ensure KPI deadlines are met,

The Business Support Officer – Operations will respond to all internal and external

communications in a sensitive and diplomatic manner. They will use their discretion in

providing up to date, constant and accurate advice, guidance and information to ensure

standards are maintained and business needs are met.

Key Accountabilities

1. Communicate effectively with tenants, contractors and the Conservation and

Maintenance Manager on day-to-day repairs, processing works orders and

organising access to properties. Support the Housing Officer with tenancy related

matters.

2. Coordinate out of hours repairs that have been raised on the online Portal, raising

works orders when required.

3. Organise safety checks on empty properties, in line with PSVT procedures.

4. Carry out garage inspections and arrange repairs when required.

5. Maintain and update a resident enquiry call log on behalf of the Conservation and

Maintenance Manager, ensuring clear communication each time a new enquiry is

received.

6. Prepare information packs and letters for property owners in breach of planning

law or the restrictive covenant, with guidance from the Conservation and

Maintenance Manager. The role will also be responsible for keeping a log of

activity regarding enforcement issues.

7. Create standard resident enquiry packs once service users have accessed the

conservation advisory service.

8. Generate tender documentation in line with PSVT procurement procedures,

including specifications provided by the Conservation and Maintenance Manager.

9. Maintain accurate records for each PSVT property which has received landlord

consent for accessibility adaptations, including photographs following successful

installation.

10. Provide quotation letters for higher value work, keeping an electronic record of all

correspondence.

11. Organise and monitor the programme of gas servicing, electrical inspections, lift

maintenance, fire alarms, and equipment.

12. Arrange 6 monthly fire drills and carry out monthly fire inspections to residential

communal areas to ensure health and safety compliance.

13. Contact prospective tenants and carry out viewings for residential and commercial

properties

14. To review tenancy waiting lists and ensure there is a pool of current prospective

tenants with correct contact details and information.

15. Answer general queries relating to renting properties, waiting list times and

relevant information regarding renting a property with Port Sunlight Village Trust

16. Ensure all information shared with the general public such as the Resident Website

is updated as required and in line with GDPR regulations.

17. Provide admin support for the Operations Directorate when required.

18. Carry out duties in a manner that reflects Port Sunlight Village Trust values at all

times.

19. Undertake any further duties determined as reasonable and necessary in the

fulfilment of the role.
