Job Summary
An interesting opportunity has arisen in a reputable and well established law firm in Chichester for an Office and Facilities Administrator to join the team on a full time basis.
The ideal candidate will play a vital role in maintaining the functionality and safety of facilities. This position requires a blend of practical and organisational skills, alongside strong communication and IT skills, to ensure that all operational needs are met efficiently and clients receive a warm welcome.
This is very much a hands-on role suited to a confident professional with first class organisational and interpersonal skills with the ability to handle a varied and demanding workload.
Main responsibilities/key tasks (not exhaustive)
Facilities duties
- Ensuring the building, equipment and systems are well maintained;
- Scheduling inspections and repairs as necessary;
- Overseeing contractors;
- Ensuring facilities meet with regulatory requirements;
- Maintaining communication between management and contractors;
Office Administration duties
- Assisting in coordinating meeting rooms, ensuring they are maintained to a high standard.
- Ensuring incoming and outgoing telephone calls are answered and dealt with courteously and as quickly as possible.
- Assisting with post room duties, including booking couriers when needed and ensuring that all post is dealt with in a timely matter.
- Maintaining all records with regards to Wills, Deeds and LPA’s.
- Dealing with all enquiries with regards to Wills, Deeds and LPA’s from outside sources and staff members.
- Liaising with clients and request necessary ID and authorisation from all parties that is required for the collection thereof.
- Locating and scanning Wills.
- Logging all documents for storage.
- Ensuring that the reception area is continuously attended covering lunches and breaks as needed.
Required qualifications, skills and experience
- Diplomatic and confident in communication with a friendly and approachable manner
- High attention to detail and accuracy
- Ability to prioritise work and cope well in periods of high volume
- Proactive and able to rise to challenges
- To be methodical with strong eye for detail
- Ability to work independently, as well as part of a team
- Competent IT skills, ideally with a working knowledge of MS Office
Salary: Competitive salary to the successful candidate, commensurate with experience and ability.
Hours and Location: This is a full-time role working 9 am to 5.15pm Monday to Friday in Chichester
