Our Facilities Management service complements other aspects of our business, ensuring the highest standards of upkeep and care for our properties. As we continue to expand, we are seeking an efficient administrator to join our team at our Head Office in Southend-on-Sea.
Key responsibilities:
- Acting as first point of contact within the Facilities office during working hours to ensure phone calls are taken and queries are dealt with in a timely manner
- Supporting the Facilities department in delivering a consistent and efficient service across each site
- Making sure all Planned Preventative Maintenance (PPM) schedules are up to date and that any remedial works(s) are undertaken quickly
- Liaising with third party suppliers and contractors
- Helpdesk management, monitoring and responding to job requests, including liaising proactively and reactively with other staff
- Ensuring Risk Assessments Method Statements (RAMS) and safety data sheets are kept updated
- Providing other administrative and operational/coordination support to the Director of Facilities, as well as other staff as and when requested
- Producing monthly reports identifying performance against agreed targets
- Maintaining internal systems and workflow
- Managing all incoming mail
- Attending meetings and taking minutes as and when required
- Preparing a variety of management data reports
- Maintaining both soft and hard filing systems
- Monitoring performance against Key Performance Indicators (KPIs) and Service Level Agreements (SLAs)

Experience & Qualifications
- Previous experience in administration (preferred)
- GCSEs in Maths and English, or equivalent
- IOSH and/or Customer Service qualifications would also be advantageous
