Job Overview
We require a Document Controller to maintain, organise and file all documentation for The Guildcrest Group. This will cover mainly Guildcrest Homes and Guildcrest Contracting but may include other companies within the Group and supporting the Accounts Team with selected tasks and general administration.
Role: -
- Maintaining and controlling all project documents, including technical drawings, specifications, reports, and correspondence ensuring the most recent versions are available and filing out of date versions accordingly.
- Managing the Document Management System (e.g., Collabor8).
- Liaising with Consultants regarding any discrepancies that may be found with drawing numbers, names and revision numbers when checking against relevant issue sheets.
- Creating folders within job files and issuing documents onto Collabor8 as directed by team leaders.
- Produce and maintain Design Trackers to track document status, including approvals, revisions, and updates.
- Produce and maintain Accommodation Schedules.
- Updating Planning Trackers from relevant conditions / approval letters.
- Liaise with utility companies regarding registering MPANs / MPRNs, booking meter installations, providing readings etc.
- Maintaining site folders for the construction teams including RAMs, Insurances etc.
- Keeping detailed key registers for all new build properties and keeping track of any keys taken out of the office.
- Monitoring, chasing and logging all completion documents / certificates and filing them on the Server and DMS ensuring notifications are sent to all relevant parties.
- Compiling O&M (Handover) Files for new build properties and filing all information onto the DMS.
- Additional administrative support wherever needed.
- Adhering to confidentiality and Data Protection rules at all times.
Skills
- Strong understanding of document control procedures and best practices within a New Build / Contracting environment.
- Proficiency in using document management systems.
- Excellent organisational and time management skills.
- Attention to detail and accuracy an absolute must.
- Ability to work under pressure and meet deadlines.
- Knowledge of relevant DMS software, such as Collabor8, Procore, 4P would be an advantage.
