We're on the hunt for a Creative Team Coordinator. In this role you'll work to support the global creative function – a team consisting of Creatives, Producers, Strategists, Designers and Technologists. As the coordinator you'll play an essential role using your excellent administrative and organisational skills to allow the team to produce the best work of their lives! 

 

As the Creative Team Coordinator you'll need a laser focus on detail, ensuring administrational accuracy across all areas of the role including finance and presentation creation. Highly organised to manage multiple priorities and the ability to confidently communicate and collaborate across the team.  

 

 

What You'll Do 

 

Administrative Support

• Reception cover rota for Arbor.

• Managing travel requests and planning trips for the team, including obtaining quotes, processing approvals.

• Handling financial admin tasks such as raising POs and liaising with vendors and/or freelancers as needed.

• Providing expense support by assisting the team with expense-related queries and communicating with the Finance Hub.

• Responding to IT-related queries, including sourcing quotes for departmental and/or specialist software and assisting with hardware requests outside of standard IT issues.

• Coordinating new starter activities such as sorting tech and supplies for new colleagues, producing onboarding decks, and requesting credit cards.

• Carrying out general office admin, including printing, scanning, and stationery management.

• Organising and processing NDAs for vendors and/or visitors.

 

Cultural Support

• Helping to organise team celebrations such as project launch moments, Merlin anniversaries, and leaver send-offs.

• Leading logistics for team days and creative inspiration sessions.

• Supporting the Creative Studio Manager with external PR-related activities

• Coordinating internal activities such as filming days for mini masterclasses. 

 

Meeting Support

• Assisting with large team meetings.

• Booking rooms, building agendas, taking minutes, and distributing action items for key meetings.

• Supporting the development of presentation decks for recurring meetings such as monthly All Hands

 

 

 

 

 

Qualifications & Experience

• Extensive administrative experience.

• Proven understanding of scheduling and financial administration processes.

• Knowledge of SAP, NetSuite, and Concur is desirable.

• Experience with office health and safety procedures.

• Highly adept at working in busy office environments.

• Confident in calendar management.

• Experienced in supporting a variety of team-focused activities
