Job Description
The Team Personal Assistant (PA) will provide high-level, proactive support to the Head of Global and EMEA Capital Markets at Colliers, as well as the wider Capital Markets team. This pivotal role ensures smooth day- to-day operations, effective communication, and the delivery of world-class administrative assistance within a fast-paced, dynamic environment. The PA will act as a trusted partner, facilitating time management, project coordination, and the seamless execution of strategic priorities across the global and EMEA capital markets business.
Comprehensive diary management for the Head of Global and EMEA Capital Markets and 3 other EMEA Directors including scheduling of meetings across multiple time zones and prioritising competing demands.
- Complex international travel arrangements, including itinerary planning, visa and accommodation coordination, and expense processing.
- Meeting preparation: agenda planning, document collation, briefing packs, and minutes.
- Coordinating and tracking action points following key meetings, ensuring accountability across the team and stakeholders.
- Event organisation: supporting logistics for internal and external conferences, client events, roadshows and internal training.
- Supporting the onboarding and induction of new team members within EMEA Capital Markets.
- Liaising with executive leadership, clients, and stakeholders globally and regionally, serving as a key point of contact.
- Maintaining confidentiality and professionalism in all communications and sensitive matters.
- Assisting with project management, research, and compiling reports or presentations as required.
- Proactively identifying opportunities to streamline administrative processes and enhance team efficiency.
- Compiling, submitting and accountability for all expense claims for Directors.
- Liaising with various internal admin divisions (i.e. IT, Finance, HR, Operations) as required.
Qualifications
- Previous experience at a similar level working as a Team Assistant, Personal Assistant, or Executive Assistant supporting senior executives, preferably in corporate, financial/professional services environments.
- Ability to manage multiple priorities, complex diaries, and tight deadlines under pressure, demonstrating flexibility and initiative.
- Exceptional interpersonal, verbal, and written communication skills, with the ability to interact effectively at all organisational levels and across cultures.
- Proven capacity to handle sensitive information with utmost confidentiality and professional integrity.
- Experience of coordinating events is desirable but not essential.
- High level of accuracy in document preparation, data handling, and meeting follow-up.
- Advanced skills in Microsoft Word, PowerPoint and Outlook, videoconferencing tools (Microsoft Teams), and adaptable to new technologies and systems.
- Proactive, resourceful, and solution-oriented with a strong sense of ownership and accountability.
- Collaborative and approachable, able to build relationships and foster a positive team culture.
- Experience working in an international environment, with cultural awareness and the ability to coordinate activities across multiple time zones is desirable but not essential.
- Experience supporting projects, presentations, or research tasks, with strong organisational and analytical abilities.
