Role Overview
As a Property Administrator, you will manage a group of properties and act as the first point of contact for maintenance-related issues. Your role will involve liaising with tenants, landlords, local authorities, and maintenance teams to ensure timely and efficient resolution of repair issues.
You will be responsible for logging maintenance calls, allocating work, following up on completion, and ensuring all necessary actions are taken to maintain our properties to a high standard. This is a key role within our Property Services Team, requiring excellent communication, organisation, and problem-solving skills.
Responsibilities
- Act as first point of contact for reporting maintenance issues (phone and online).
- Record and assess maintenance requests, carrying out basic troubleshooting when necessary.
- Log and manage work orders using internal property management software.
- Allocate jobs according to urgency and established prioritisation procedures.
- Report any potential disrepair or legally sensitive complaints to the Property Services Manager.
- Liaise with maintenance operatives to ensure timely completion of works.
- Follow up on completed jobs to confirm satisfactory resolution.
- Contribute to the overall goals and performance targets of the Property Services Department.
- Provide general administrative and office support as required.

- Communication & Interpersonal Skills: Clear and confident communicator, capable of liaising effectively with tenants, landlords, contractors, and internal departments both in person and over the phone.
- Organisation & Prioritisation: Highly organised with the ability to manage multiple property maintenance requests, prioritise tasks based on urgency, and meet daily deadlines in a fast-paced environment.
- Attention to Detail: Diligent in logging maintenance issues, updating records, and ensuring all documentation is accurate and compliant with internal systems.
- Technical Proficiency: Comfortable using property management software, CRM tools, Microsoft Office Suite (especially Outlook, Excel, and Word), and open to learning new systems as required.
- Problem Solving: Proactive in identifying issues, applying logical thinking to troubleshoot problems, and escalating more complex concerns appropriately
- Team Collaboration: Works well within a collaborative team environment, supporting colleagues and contributing to the wider goals of the Property Services department.
- Time Management: Able to handle a high volume of work and maintain performance during peak periods, with minimal supervision.
- Knowledge of Property Sector: Understanding of property maintenance processes and tenant/landlord relationships is advantageous; a willingness to develop expertise in this area is essential.
- Professionalism & Discretion: Demonstrates a courteous, respectful manner in all interactions and maintains confidentiality in line with company policy.
