Full-Time Operations & Office Administrator
The Antique Ring Boutique – London
Monday to Saturday | 42.5 hours per week (5 days)
We are seeking a highly organised, proactive, and detail-oriented Operations & Office Manager to oversee the day-to-day running of our busy and growing antique jewellery business based in Central London.
This role is essential to the smooth operation of our boutique and online business. From customer support to inventory management, logistics and supplier liaison, you’ll be central to keeping all areas of the business running efficiently.
We are a small, dedicated team with a passion for antique jewellery and a commitment to exceptional service. We are looking for someone who brings strong organisational skills, commercial awareness, and a positive, can-do attitude to the role.
Key Responsibilities
Customer Support & Order Management
- Respond to customer enquiries across all platforms (email, phone, website, social media), providing a high level of service and knowledge.
- Process sales and manage order fulfilment, liaising with customers and couriers to ensure timely and secure delivery.
- Provide personalised client service, including post-sale support and handling returns.
Stock & Inventory
- Oversee and maintain accurate stock records across online systems and physical inventory.
- Carry out regular stock takes and investigate discrepancies.
- Manage the store room and stock handling processes, ensuring all items are correctly labelled, secured, and catalogued.
Supplier & Workshop Liaison
- Liaise with jewellers, stone dealers, suppliers, and workshops to track orders, repairs, and new acquisitions.
- Manage returns to suppliers and ensure timely processing of credits or exchanges.
- Oversee timely payments of supplier invoices in coordination with bookkeeping support.
Logistics & Fulfilment
- Manage domestic and international shipping via Royal Mail, DHL, and other couriers.
- Schedule dispatches and coordinate collections, ensuring insurance, customs, and documentation are handled correctly.
Sales & Admin
- Confidently support sales, both online and in-person, offering knowledgeable guidance on pieces.
- Raise invoices, track payments, and assist in chasing overdue accounts where necessary.
- Assist in maintaining our Shopify website with product uploads and edits.
Operational & Business Support
- Implement and maintain office policies and procedures.
- Assist with diary management and general PA duties for the company director when needed.
- Provide occasional support for events, exhibitions, or VIP client appointments.
- Support visual merchandising, promotional displays, and ensuring the boutique is always presentation-ready.
Digital & Marketing (optional/additional responsibilities depending on experience)
- Assist with basic photography and content for Instagram or marketing campaigns.
- Help maintain the customer database and mailing list.

Pay: £24,420.00-£30,000.00 per year
