SELF EMPLOYED ROLE
Due to a valued member of the team retiring, we are searching for a new office administrator to start middle of October 2025.
J G Molloy is a family ran construction company in Coventry covering the whole of Warwickshire and the surrounding areas. The office consists of a small team, one person deals with the accounts, one in sales & general office admin along with the new role who will pick up more of the office admin side but will deal with clients and sales too.
Monday – N/A
Tuesday -10:30am -5:30pm
Wednesday – 10am – 2pm
Thursday - 10:30am -5:30pm
Friday - 10am – 2pm
Approx. 21 hour working week- Lunch breaks are 30 minutes unpaid
No remote working
Jobs to include;
Filing paperwork
Saving emails and files
Dealing with the companies’ insurance policies
Vehicle MOT’S, TAX & Service’s
Organising appointments and diary work
General office correspondence
Use of a Dictaphone
Invoicing, quotes & tenders
Valuations – this will be explained in training
Tenancy agreements
Weather records for site delays
Operators license
Driving license information – sub contractors etc.
Credit card receipts and petty cash
Organising and filing delivery tickets
What are we looking for;
· An organised person that is able to keep on top of tasks
· Ideally be able to touch type / can write shorthand & use a Dictaphone
· Confident using Microsoft office and excel
· Self-motivating and a team player
· Reliable
· A trustworthy person
Requirements;
· Proven experience as an office administrator, does not have to be in the construction industry however, this would be a positive
· Strong typing and communication skills
· Strong organization skills with the ability to priorities tasks
· A positive attitude to work, problem solving and customer service
· Be able to keep on top of each of the current projects program’s
· Occasionally deal with different merchants and sales reps.
· Must like dogs
The candidate must maintain strict confidentiality regarding all business information and treat it as private and confidential.
Start dates;
Preferably we would like a handover period for a minimum of a week so that the person retiring has time to run through their filing systems, introduce you to insurance companies and other contacts. Making sure you feel confident before they leave and you start.
We would be looking for the middle of October 2025.
Rate of pay; £13.50
Hourly rate increase as and when applicable
Please note; the office is a smart-casual atmosphere and Joe is very accommodating to family needs etc. however, please note occasionally Joe may require you to stay slightly later than your finishing time due to tender deadlines and such like, however this does not happen very often.
