Purpose of the Role
To provide comprehensive administrative and legal support in the initial stages of military hearing loss claims, ensuring efficient case set-up, client care, and compliance with relevant procedures and regulations.
Key Responsibilities
1. Client Onboarding and Initial Contact
- Obtain and verify identification and other compliance documentation in accordance with anti-money laundering (AML) and Know Your Client (KYC) requirements.
2. Case Set-Up and File Management
- Open new files on the case management system, ensuring all client and matter details are accurately recorded.
- Prepare and send initial client care letters, terms of business, and relevant authorisation forms.
- Collate and organise supporting documentation, including service records, medical records, and audiology reports.
3. Preliminary Case Assessment
- Liaise with clients to clarify factual details and obtain further information as required.
4. Communication and Liaison
- Act as a point of contact for clients during the initial stages, providing updates and responding to routine queries.
- Liaise with third parties, including the Ministry of Defence, medical professionals, and expert witnesses, to request records and information.
5. Administrative Support
- Maintain accurate and up-to-date records on all files.
- Ensure all correspondence is filed and actioned promptly.
- Assist with the preparation of standard forms, letters, and documentation.
6. Compliance and Confidentiality
- Ensure all work is carried out in accordance with the firm’s policies, the SRA Code of Conduct, and data protection legislation.
- Maintain strict confidentiality regarding client and case information.
Person Specification
Essential Skills and Experience
- Previous experience as a legal assistant, paralegal, or in a similar administrative role within a law firm preferable but not essential.
- Strong organisational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage a busy caseload and prioritise tasks effectively.
- Proficient in the use of case management systems and Microsoft Office applications.
Desirable Skills and Experience
- Experience in personal injury or military claims.
- Knowledge of the Armed Forces Compensation Scheme and/or civil claims process for hearing loss.
- Understanding of medical terminology relevant to hearing loss claims.
Qualifications
- Minimum of 5 GCSEs (or equivalent) including English and Maths.
- Legal Secretarial or Paralegal qualification (desirable but not essential).

Remuneration and Benefits
£25,00 plus bonus for successful cases worked on
