Job Title: Database Officer
Reporting to: Head of Fundraising / Director of Fundraising & Marketing
Location: Salisbury / Head Office
Hours: 35 hours per week, with some flexibility
Salary: £28K - £30K
Job Purpose
The Database Officer will play a key role in ensuring the effective management, accuracy, and development of the hospice’s supporter database (CRM). This role underpins the fundraising and communications strategy by providing high-quality data management, insightful reporting, and supporter care processes that enable the charity to engage supporters effectively, grow income, and deliver exceptional experiences.
Key Responsibilities
Database Management & Integrity
- Maintain, update, and oversee the day-to-day running of the charity’s CRM system, ensuring supporter records are accurate, complete, and up to date.
- Implement data entry standards and oversee quality control, supporting colleagues and volunteers in best practice use of the system.
- Ensure compliance with GDPR and data protection legislation, as well as the charity’s privacy policy.
- Work with external suppliers (e.g. CRM providers) to resolve technical issues and ensure the database continues to meet organisational needs.
Data Analysis & Reporting
- Produce regular and ad hoc reports for fundraising, finance, and communications teams, including campaign performance, income monitoring, and donor demographics.
- Develop data insights to support strategy development, supporter segmentation, and audience targeting.
- Provide analysis to improve supporter journeys, maximise donor retention, and identify opportunities for growth.
Fundraising & Supporter Engagement Support
- Process income from a variety of sources (including individual giving, events, Lottery, community, and corporate fundraising) with accuracy and efficiency.
- Support Gift Aid claims, direct debits, and regular giving administration.
- Work with fundraising and marketing colleagues to provide targeted data selections for appeals, campaigns, and events.
- Assist in the development of supporter journeys by ensuring data supports personalised and meaningful engagement.
Collaboration & Team Support
- Provide database training and support for colleagues and volunteers, ensuring effective use of the CRM.
- Work closely with fundraising, finance, and communications teams to ensure processes are integrated and efficient.
- Provide administrative cover for the team during periods of holiday or absence.
- Support the wider fundraising team at key hospice events and initiatives, as required.
Person Specification
Essential
- Experience using and managing CRM databases, ideally within the charity or not-for-profit sector.
- Strong IT skills, including proficiency in Microsoft Excel and data analysis tools.
- Excellent attention to detail with a methodical and accurate approach to work.
- Ability to manage multiple priorities, meet deadlines, and work independently.
- Knowledge of GDPR and data protection best practice.
- Strong communication and interpersonal skills, with the ability to train and support colleagues.
Desirable
- Experience of using charity’s CRM system e.g. Beacon / Raiser’s Edge / Donorflex].
- Understanding of fundraising processes and income streams.
- Experience in producing financial reconciliations or Gift Aid submissions.
