Role: Allocations Assistant
Location: West Bridge Depot, Northampton.
Hours of work: 37 hours per week

Salary: £27,199 per year
It’s an exciting time to join Northamptonshire Partnership Homes (NPH) as we expand and grow our business, whilst developing and improving existing services for our residents. A fantastic opportunity has arisen to join NPH as an Allocations Assistant.
The Role
- To provide specialist administrative support to Lettings/Voids Team in the delivery of a customer focused service.
- To work as part of a team organising viewings and sign-ups for the allocations of NPH properties
- To liaise with customers and internal teams daily to ensure key stage targets for Voids works are kept to a minimum
Key Responsibilities
- Ensure all computerised and manual recording systems are updated and maintained on an accurate and timely basis, and that all service requests are responded to within the prescribed timescales.
- Be responsible for dealing with a wide range of telephone enquiries and correspondence – working on own initiative to take action as appropriate or where required referring issues to Housing Officers, Voids Control Officers, Tenancy Assessment Officers or the Lettings/Support Management team officers.
- Scanning and indexing of sensitive tenancy and application related documentation
- To monitor group e-mail inboxes and provide initial responses
- Manage team members diaries and appointment booking regarding accompanied viewings and sign-ups in a timely manner taking into consideration the target for Voids turnaround
- To ensure the process for tenancy terminations is followed ensuring potential void rent loss is minimised.
- Responsible for maintaining and developing spreadsheets/recording all terminations that are received so we can track void properties through the process
- Ensure any sign-ups that are completed the previous day, complete CORE forms and upload to CORE government website, input date onto tenant sign up loader for key performance indicators
- Responsible for data input of the CORE figures for government returns regarding all Allocations and Lettings of NPH/WNC properties
- To receive keys for all fit to let properties, ensuring keys are recorded and to arrange tenancy sign up appointments for housing applicants. To prepare tenancy sign up packs with all relevant documentation.
- Management of offer letters, ensuring they are recorded as refused if not accepted within prescribed timescale.
- Raise a pre-termination inspection request to the Housing Officer.
- To be responsible for collation of service performance data and related indicators including the extraction of performance reports
- Maintain any stocks of service-related documentation and application forms and to assist with new document design and ordering in accordance with corporate guidelines
- Check garage box and index any keys that have been returned.
- Liaise daily with homeless team with information regarding any viewings and signups for homeless applicants
- To process any tenancy terminations which come through via signups/email, print voids sheet and email Energy Angels regarding utilities, all paperwork needs to be filed and added to cycle spreadsheet for advertising in Choice Based Lettings Advert
- Provide the Benefit Team with details of the void period for utility and council tax bills.
- To provide cover and other administration related support within the Housing Services team
- Responsible for using Open Housing to raise repairs and complete orders
What skills are we looking for?
- Experience of dealing with Customers on a one-to-one basis
- Awareness of Current Housing issues
- Ability to prioritise workload and meet targets and deadlines.
- Responding to customer enquiries and service complaints by telephone
- IT Literate/good keyboard skills
- Good written and verbal communication skills
- Takes personal responsibility for delivering an excellent service to meet the needs of internal and external customers
