Subcold Ltd, a vibrant and rapidly growing company in the online retail sector, is excited to announce a new opportunity for an Administrator to join our friendly Administrative Team. This full-time role is based in our office in Livingston, West Lothian, and is perfect for someone who loves a fast-paced working environment.
Working Hours: Monday to Friday, 08:30 to 17:00, with the occasional Saturday (about once per month).
What You'll Be Doing
- Handling all sorts of admin tasks, from picking up the phone to helping out our customers with their enquiries.
- Getting stuck into data entry and keeping our internal documents in tip-top shape, including sorting out returns and keeping our stock up to date.
- Keeping an eye on our mailboxes, from the online helpdesk to personal emails, making sure everyone gets a timely reply.
- Learning the ropes of our internal systems and products, so you can be a real help to the team and our customers.
- Processing orders, both incoming and returns, with a keen eye for detail.
- Perform a variety of administrative tasks to support the smooth operation of the office.
- Answer and direct phone calls in a professional and courteous manner.
- Greet visitors and provide them with the necessary assistance.
- Handle incoming and outgoing mail.
- Maintain and update office records and files.
- Provide general clerical support to staff members.

- Have a way with words and can chat easily with customers and teammates alike.
- Take pride in delivering top-notch customer service.
- Are the kind of person who dots the 'i's and crosses the 't's.
- Have some admin experience under your belt, especially if you're handy with Google Suites, but it's not a deal-breaker if you don't.
- Are a whiz at organizing, prioritizing, and just generally staying on top of things.
- Can keep cool and carry on when things get a little busy.
- Are happy switching between working on your own and collaborating with the team.
- Excellent phone etiquette and communication skills.
- Previous experience in an administrative role.
- Familiarity with office procedures and basic clerical tasks.
