Dalhousie Castle is seeking a detail oriented and passionate Weddings and Events Coordinator to help bring unforgettable experiences to life within our exclusive venue. As Weddings and Events Coordinator, you will be the key point of contact for clients from initial enquiry through to the execution of their event, guiding them from their first visit to their final toast. You will work closely with departments across the hotel to ensure every detail is delivered flawlessly and with the elegance expected of a world-class venue.
Dalhousie Castle is Scotland's oldest inhabitable castle, a beautiful wedding and meetings venue, with 35 bedrooms, a dramatic dungeon restaurant, picturesque gardens and spa. The hotel is undergoing an exciting refurbishment project to elevate our guests experience whilst preserving everthing that you already love about Dalhousie. We're refreshing interiors, enhancing comfort, and reimagining key spaces with elegance, history, and storytelling at the heart.
Key Responsibilities:
- Manage wedding and private event enquiries with warmth, professionalism, and creativity
- Host venue show rounds and build trusted relationships with clients
- Coordinate all aspects of event planning, including schedules, menus, suppliers, and room setups
- Liaise with internal teams (kitchen, front office, operations) to ensure seamless delivery
- Build lasting relationships with guests and clients, providing personalised service
- Maintain accurate event documentation and manage bookings using internal systems
- Support the Events team in driving revenue and occupancy targets
- Handle telephone and email communications professionally, swiftly addressing guest needs and concerns.
- Collaborate effectively with team members and lead by example to foster a positive and cohesive working atmosphere.
Qualifications and Skills:
- Previous experience in weddings and events coordination within a luxury hotel or venue
- Outstanding communication and organisational skills
- A polished, professional presence with a warm and engaging manner
- A passion for service and the ability to thrive under pressure
- Strong attention to detail and a creative, solutions-focused mindset
- Flexibility to work occasional evenings/weekends to oversee events
- A proactive, team-oriented mindset paired with a passion for delivering exceptional customer service.
- Proficiency in using hotel management software and basic computer applications.
- A flair for hospitality and a genuine passion for creating memorable experiences
Working Conditions:
