Position Purpose
The UK integration coordinator is a key part of the integration leadership team, focused on maintaining smooth day-to-day operations for the team. This person is central to communication between integrators, leadership, and other departments by focusing on maintaining up-to-date and accessible project scheduling data alongside background operational systems. They are a collaborative team player who excels in cross functional environments to foster meaningful relationships built on a shared passion for the entertainment industry.
Responsibilities
- Collaborate with department leadership to forecast and fulfil project staffing requests.
- Coordinate shift assignments, time-off requests, and scheduling changes while minimizing conflicts.
- Responsible for scheduling systems and processes to ensure effective tracking of team commitments.
- Maintain clear communication paths to notify team and business of scheduling decisions, changes, or urgent coverage needs in a timely manner.
- Coordinate and schedule external labour through freelance network and local labour suppliers to meet capacity demands.
- Act as the primary point of contact for all scheduling-related inquiries.
- Ensure project scheduling elements are created in TAIT MPS to allow for appropriate time tracking.
- Maintain project pipeline by compiling data from project sales systems.
- Train staff on scheduling tools as required.
- Generate reports on workforce metrics and staffing trends to identify process improvements.
- Ensure department skill competency and training/certification databases are kept up to date.
- Schedule trainings to ensure team compliance with all applicable industry & legislative qualification requirements.
- Maintain team tooling and uniform inventories, completing purchasing to maintain stock levels as needed. Coordinate and schedule team building events.
Position Requirements
- Passion for the entertainment and live events industry.
- Strong analytical skills with the ability to gather data from multiple sources to create detailed reports.
- Comfortable using technology applications in day-to-day tasking.
- Exceptional communication skills, in writing and verbally, to articulate complex scheduling strategies. Collaborative and inspirational, with a history of building strong relationships across diverse cross functional teams.
- Comfortable working in a fast-paced, ambiguous environment, embracing failure as a learning opportunity.
- Impeccable judgement and integrity, with the ability to make key decisions quickly and autonomously.
- Experience with EPICOR, Asana, Slack, & Salesforce preferred
