Now part of The Heritage Wine Company group, we are entering an exciting period of growth and investment. To support our expanding operations, we are looking for a detail-oriented and proactive Sales Support & Office Administrator to join our dedicated team.
About the Role
This is a vital, multi-functional position at the heart of our business operations. You will provide administrative support to the sales team, coordinate customer service, and ensure the smooth running of our back office. The role offers variety and the opportunity to make a tangible impact in a dynamic and growing company.
Reporting to the site Operations Manager, with dotted-line responsibility to the group Co-CEO, you’ll liaise across departments, manage systems and communications, and help ensure our customers receive seamless service from order to invoice.
Key Responsibilities
Sales & Customer Support
- Process customer orders accurately and efficiently.
- Maintain and update customer records and sales databases
- Prepare customer invoices, statements, and delivery notes.
- Handle inbound queries and ensure prompt, professional responses.
- Support the sales team with reporting, scheduling, and communication, including relaying key customer feedback.
- Contact selected customers for order requirements.
- Work closely with the sales team to support and update customer wine lists, and ensure that pricing and products align with our customers’ requirements and expectations.
Office Administration
- Manage incoming calls, emails, post, and stationery orders.
- Maintain internal calendars, employee records, and key shared documents.
- Upload and code purchase invoices and reconcile supplier accounts.
- Perform credit control tasks, including payment tracking, overdue reminders, and following up on outstanding balances from existing accounts when required.
- Liaise between departments to help keep operations running smoothly.
Key Objectives
- Ensure a high level of accuracy and organisation in all administrative processes.
- Contribute to excellent customer satisfaction through responsive communication.
- Enable the sales and operations teams to focus on growth and service.

Who We’re Looking For
You’re organised, proactive, and thrive on helping things run smoothly. You’re comfortable working with systems and spreadsheets, enjoy supporting others and take pride in doing things right. Previous experience in wine is a bonus - but not essential.
Essential Skills
- Strong organisational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
- Attention to detail and accuracy.
- Ability to work independently and as part of a small, close-knit team.
- Customer service mindset and a professional telephone manner.
- Proven track record within sales administration or support roles.
Desirable attributes
- Experience with stock management or order processing systems, and basic accounting and bookkeeping functions.
- Familiarity with credit control or accounts administration.
- Interest and experience in wine or hospitality industries.
- Experience in supporting a sales or operations team.

Pay: £26,000.00-£35,981.61 per year
