Job Overview
We are seeking a Sales Administrator to join our dynamic team in providing administrative support to our sales department in our busy Estate Agency office. The ideal candidate will play a crucial role in ensuring the smooth operation of sales activities through effective coordination and communication. This is a temporary contract for 3 months but maybe extended ny mutual agreement.
- Responsibilities
- Greeting visitors to the office and dealing with their requests / enquiries
- Telephone Calls – recording incoming calls and actioning as appropriate; making outgoing calls
- Provide administration of legal documentation for sales progression processes
- Providing administration support to the sales team
- Diary management for the team
- Being pro-active and managing time effectively to provide a high level of support to the team
- Diary Management – maintaining accurate records for all appointments / viewing records
- Email - monitoring and managing Outlook
- Creation and management of folders within Word and Excel
- Typing and Production of Sales Details – including possibly typing from hand-written or audio taped notes and incorporating photographic images
- Data inputting and management of in-house property software
- Uploading to, downloading from and ongoing amendment of property details on online portals including in-house website, Rightmove, OnTheMarket and Zoopla and ensuring accuracy and quality of the listings. Rotating as and when required to keep listings fresh
- General Secretarial Tasks including – letters, Memorandums of Sale, forms, fliers, invoices, posters etc.
- General office administration – ordering supplies, creating files & folders, printer upkeep (toner), etc.
- Liaising with Vendors and Buyers to obtain required information/documentation for Money Laundering etc
Requirements
- Excellent written and verbal communication skills, with the ability to prioritise and organise
- Positive, pro-active and flexible approach
- Well presented with excellent time keeping
- Excellent level of attention to detail and accuracy
- Previous administration experience required, ideally within an estate agents or the wider property industry.
- Strong organisational skills with the ability to multitask effectively
- Proficiency in Microsoft Office applications, particularly Excel
Job Type: Fixed term contract
Contract length: 3 months
Pay: £23,750.00 per year
