Job Purpose
We are seeking a friendly, organized and passionate Receptionist to join our animal welfare team. You will be the first point of contact for visitors and potential adopters and responsible for providing excellent customer service, supporting the rehoming process, managing administrative tasks, and ensuring smooth day-to-day operations at the front desk.
Main responsibilities
Reception & Office Support
Greet visitors and clients warmly and professionally.
Answer phone calls, emails, and online inquiries in a timely manner.
Schedule appointments and manage office calendars.
Support the rehoming team with administrative tasks such as data entry, filing, and document preparation.
Ensure the reception area is clean, organized, and welcoming.
Greet and assist visitors, adopters, donors, and volunteers in a professional and friendly manner
Provide accurate information about adoption procedures, available animals, and shelter policies.
Schedule and coordinate adoption appointments, animal viewings, and surrender intakes.
Maintain up-to-date records in the shelter management system (e.g., animal profiles, adoption applications).
Handle administrative tasks including filing, data entry, document preparation, and inventory of office supplies.
Work closely with animal care, veterinary, and rehoming teams to support smooth operations.
Assist with public education efforts, events, or promotions related to adoption and rehoming.
Adhere to all health, safety, and animal welfare regulations.

Education:
Essential:
General education including English, both written and oral and mathematics
Animal Care/Welfare/Behaviour Qualification
Experience of:

Reception, customer service, or office administration
Desirable :
Experience in an animal care or non profit setting
