MAIN PURPOSE
To provide a welcoming, professional and efficient first point of contact to all visitors. To ensure that all calls received via Brainkind and/or Service switchboard/telephone system, are dealt within a professional, efficient and friendly manner.
MAIN TASKS AND RESPONSIBILITIES
- To promptly, accurately, and professionally deal with all received telephone calls and inquiries from both external and internal sources.
- To filter cold calls appropriately, and to ensure that messages are recorded and promptly relayed.
- Meet and greet all visitors to Brainkind in a professional and welcoming manner.
- To assist with all hospitality that is required for visitors/meetings.
- To ensure that the reception area is clean, tidy and welcoming at all times.
- To be responsible for dealing with all incoming and outgoing mail efficiently and effectively.
- To provide a confidential and comprehensive administration service to the staff at CSS and any satellite locations, within operational and procedural guidelines
- To manage communications received within CSS i.e. faxes, emails etc and take action as appropriate
- Monitor, order and organise all stationery for all departments as required.
- To ensure that weekly movement sheets, and all contact lists are kept regularly updated and distributed in a timely manner.
- To undertake any other reasonable duties falling within the administration role as identified by the service.
- May be required to undertake additional administration duties as necessary to support smooth running of Brainkind service and/or deputise in the absence of business administrator.
- Good IT skills using Microsoft Office, in particular Word, Excel and Outlook
- Excellent communication skills, both oral and written.
- Excellent interpersonal skills.
- Familiar with using office systems eg facsimile, telephone, photocopying, email, basic accounts.
- Excellent numeracy skills.
- Able to work as part of a team.
