To act as the first point of contact for a range of telephone calls and in-person when covering reception duties.
To use the National breast screening system to arrange/change appointments for women called for breast screening, considering the needs of the client and patient choice.
Where it is not possible to provide a suitable appointment time for a lady, the post holder is expected to use her initiative and, where necessary, liaise with a senior member of staff.
Monitor the availability of appointment slots and highlight shortfall to the Office Manager.
To use own initiative to adjust allocated timeslots to accommodate clients with a variety of special needs.
To be responsible for entering changes to demographic details from the screening episode onto the computer, ensuring the appropriate end point action to be transmitted to the national database in accordance with the departmental Quality Management System

Carry out reception duties as required by the department, following department procedures and in line with the required start and finish times as is required.
Act as the first point of contact for dealing with routine enquiries and takes appropriate action as necessary liaising with others as appropriate.
Reviews the communication systems for staff, patients and/or external sources using appropriate communicative tools.
Responsible for implementing and maintaining both manual and electronic filing systems and databases as required by the department, ensuring all documents are accurately and appropriately archived.Assist with training new team members in operational department systems and department procedures.
Responsible for ordering stationery and other equipment whilst monitoring and maintaining stock levels.
Responsible for the dissemination of all relevant information to departments, external and internal users (e.g. minutes, memos).
Responsible for the receipt and distribution of incoming/outgoing post and action accordingly.
Undertake filing and photocopying as necessary ensuring all documents are accurately and appropriately archived/tracked.
Collate information and reports in preparation for screening, symptomatic and assessment clinics.
Maintain an efficient and comprehensive clerical service providing support to the departments and other team members as requested.
Prioritising daily tasks to achieve timescales set as provided by the screening office manager.
Act as first point of contact for complaints within the department, dealing with them accordingly and in line with Trust policy and referring them onto the appropriate line manager for further investigations and response.
Collate, input and monitor department documentation and information to assist with the production of monthly reports for the department.
Provide appropriate cover in the absence of other members of the team.
