Job Summary:
Responsible for ensuring that all aspects of the office administration runs efficiently thereby meeting the requirements of the A-13/ Elephant & Castle Station Capacity Upgrade project teams.
To operate the project reception; providing a professional and efficient first impression and continued image.
Key Responsibilities:
- Meet, greet and welcome visitors to the project
- Provide telephone and redirecting as required
- General administration duties as required.
- Ensure visitors complete the visitor’s registration process.
- Maintaining the established office systems and procedures
- Sending outgoing post and distribution of incoming post in a timely manner. Ensuring the arrangements for the internal post between site and office is managed effectively.
- Stock control, ordering and distribution of office stationary, tea/coffee/milk supplies, toner/ printer/ink cartridges for the project. Liaise with suppliers – checking costs, delivery times and procedures.
- Raising purchase requisitions as necessary with Project Procurement
- Provide a meeting room booking service.
- Support organising the office layout as necessary and keeping the seating plan updated..
- Ensure the condition of the office is maintained and arranging repairs when necessary.
- Liaise with local facilities management and suppliers for office maintenance
- Arrange for regular testing of electrical equipment and safety devices in the project offices..
- Updating the contact list with new starters and leavers to the project and keeping the communications manager informed for the periodic communications report
Technical skills and Competencies:
- Proficient in Microsoft Office
- Ability to maintain confidentiality and engage with key stakeholders
- Experienced at managing a reception and office supplies.
- Strong organisational and multitasking skills in fast-paced environments.
- Excellent communication and front-desk reception skills.
- Attention to detail in document handling and data entry.
- Excellent planning & organising skills.
Qualifications, Certifications and Experience:
- Previous administrative/reception experience in construction or project based environments
- Experience with construction project documentation and file management
- Good English communication skills, both verbal and written
