Westward Energy Services Ltd is one of the largest central heating companies in Wales with over 30 years of experience, employing more than 60 qualified GAS Safe & OFTEC engineers and electricians. Operating from our offices in Pontardawe in the Swansea Valley, we manage heating servicing and maintenance contracts for a wide range of commercial and domestic clients across Wales. Our customer base includes local authorities, universities, colleges, and housing associations.
Role Overview
We are seeking a proactive and detail-oriented Office Administrator to join our team of 20 staff in Pontardawe. This role involves a variety of administrative tasks and requires excellent communication and organisational skills.
Key Responsibilities
- Answering and logging incoming and outgoing calls using our call management system (training provided if necessary)
- Raising quotes and processing paperwork from suppliers and engineers
- Organising engineer workloads and scheduling appointments
- Taking meeting notes and distributing minutes when required
- Ordering and maintaining office supplies and inventory
- Ordering parts as required for service and maintenance operations
- Supporting general office operations and assisting colleagues as needed
Essential Skills & Experience
- Minimum 1 year in an office-based customer service or administrative role
- Proficient in Microsoft Office Suite (Excel, Word, Outlook)
- Excellent communication skills and a friendly, professional telephone manner
- Strong organisational and multitasking abilities
- High attention to detail and a proactive approach to work
- Ability to work independently and manage time effectively
- Reliable under pressure and adaptable to changing priorities
- Strong interpersonal skills and a collaborative team spirit
- Professionalism and discretion in handling sensitive information
Desirable Attributes
- Experience or willingness to learn call answering/logging systems
- Previous experience taking meeting minutes
- Familiarity with ordering and managing office supplies and parts
