This is an exciting time to join our growing RSPCA Branch! We have an established team undertaking vital animal rehoming and rehabilitation work for around 150 animals in our Branch area each year. In 2024 our Branch area expanded to cover North East Lincolnshire so we can help even more animals across Lincs Mid, North East and Lincoln.
You will have excellent organisation and communication skills to manage the administration and delivery of our animal journey with quality and compassion.
You will bring your finance administration skills to our team processing invoices that are generated from our animal welfare work.
Requirements
- Proven experience in an administrative role or similar position.
- Strong organisational skills with attention to detail.
- Experience in book keeping, finance administration, and use of Xero software is desirable.
- Excellent phone etiquette and communication skills.
- Ability to work independently and as part of a team.

Key responsibilitie:
Animal Welfare:
- To maintain excellent relationships and operational oversight of our private boarding establishments and foster carers including through regular in-person visits:
- To ensure our branch animals are in good health and to capture details about their needs that must be met by any potential adopter.
- To ensure private boarding establishments’ and fosterers’ paperwork is compliant with National Society guidelines.
- To ensure all paperwork and filing is kept up to date including our database Animal Shelter Management (ASM).
- To provide the Trustees with a weekly animal update setting out any changing information regarding the animals’ health and rehoming status.
- To liaise with inspectors regarding intake of animals and to support other branches with the intake of animals if space and finances allow.
- To review and consider all adoption application forms against the individual animal and coordinate home visits and adoption visits prior to rehoming, as well as post-adoption home visits.
- To liaise with the microchip companies to ensure microchip details are transferred across to the new owners.
Branch operations:
- To respond to telephone calls, emails, letters and voice messages promptly, updating relevant systems with details as required.
- To actively promote Branch initiatives and campaigns to promote awareness of our charity and to build and develop positive internal and external partnerships and relationships with members and supporters.
- Provide a written report for monthly committee meetings and attend committee meetings where required.
- To support the Chair to manage the branch’s Annual General Meeting (AGM).
- To act as first point of call for all complaints, ensuring that matters are passed on to the Branch Manager and/or Trustees promptly for response/investigation.
Volunteer operations:
- To actively advertise and support the recruitment of foster carers, home visitors, and fundraisers, processing all volunteer applications, maintaining accurate records.
- Provide support to Shop Managers in taking up volunteer references.
- To arrange volunteer home visitor training provided by the Home Visitor Lead Trustee.
Finance & Compliance:
- Manage all the daily financial transactions using our finance software xero including reviewing and processing invoices, maintaining accurate records.
- Ensure all financial management, cash handling, payment of invoices, banking and security procedures are followed.
- Ensure high standards of data protection are met.
