Main Purpose:
To be responsible for undertaking a wide range of administration duties and occasional reception duties providing general support to the multidisciplinary team.
Key Tasks:
The following are the core responsibilities of the Administration Assistant. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
- Clinically code data on SystmOne
- Photocopy documentation as required
- Data entry of new and temporary registrations and relevant patient information as required
- Input data into patients’ healthcare records as necessary
- Direct requests for information, i.e., SAR, insurance/solicitors’ letters and DVLA forms to the Medical Secretary Team
- Manage all queries as necessary in an efficient manner
- Carry out system searches as requested
- Maintain a clean, tidy, effective working area at all times
- Support all clinical staff with general tasks as requested
- Partake in audit as directed
- Support other roles within the administration team as directed, providing cover during staff absences
- Action incoming emails and correspondence as necessary
- Scan patient related documentation and attach scanned documents to patients’ healthcare records
- Undertake all mandatory training and induction programmes
- Attend a formal appraisal at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed
- Contribute to public health campaigns (e.g., flu clinics) through advice or direct care
- Maintaining the practice Carers and Veterans registers
- Call and Recall systems for NHS Health Checks
Health & safety:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:
- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting of health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Undertaking periodic infection control training (minimum annually)
- Reporting potential risks identified
