David Chipperfield Architects (DCA) is seeking a Front of House Office Coordinator to join our London studio. The position forms an integral part of our studio environment, where a warm welcome and meticulous attention to detail reflect the values embedded in our architectural practice.
In this role, you’ll be the welcoming face of DCA, being the first point of contact for all who enter our office. As you create that vital first impression, it is essential that you bring both professionalism and experience, combined with a considerate and thoughtful approach to every interaction. You'll maintain comprehensive oversight of meetings and events taking place throughout the studio, coordinate room bookings, and ensure spaces are properly prepared and maintained between sessions.
You will uphold our high standards of hospitality by ensuring refreshments are readily available and that our office environment remains comfortable and presentable. Working with support from the wider team, you'll coordinate internal and external hospitality and catering requests through our internal support portal.
This position requires full-time presence in our London studio.
Responsibilities
Front of house
- Welcome all staff and visitors to the office and provide refreshments for key meetings
- Register and coordinate deliveries and outgoing mail
- Administer the practice calendar of events and key meetings
- Maintain an overview of all meetings and events taking place in the office
- Ensure rooms are properly set up and tidied between meetings
- Manage adhoc office requests and queries
- Monitor office supplies and place orders with suppliers as needed
- Perform opening or closing duties for the office as required (working hours 08:30 – 17:00 or 09:30 – 18:00)
Office coordination
- Assist with technical setup and troubleshoot AV equipment
- Support staff with making travel bookings through third party booking service
- Ad-hoc travel booking for Directors through third party booking service
- Cover for other Operational support roles during absence or annual leave
Hospitality
- Maintain a high standard of hospitality throughout the office, reinforcing culture of all staff leaving spaces tidy and presentable
- Set up the Canteen and replenish refreshments throughout the day
- Coordinate internal and external catering requests
- Coordinate set up for studio breakfasts, lunches and social events
- Monitor canteen inventory and order supplies from hospitality vendors as required
- Assist in the planning and preparation of key all staff office events (Summer Party, Christmas celebration)
Skills, knowledge and expertise
- Excellent interpersonal and communication skills with a warm, welcoming demeanour
- Previous experience in a front of house, reception, hospitality or PA role
- Proactive problem-solving skills and ability to multitask in a fast-paced environment
- Ability to maintain composure and professionalism during busy periods
- Adaptability and willingness to assist across various office functions
- Strong organisational skills with excellent attention to detail
