We are looking for an experienced Executive Assistant to provide global support to our VP Sales EMEA, SVP Sales North America and VP Channel Ecosystems here at Recorded Future. This role will handle the day-to-day logistics of meetings, travel requirements, expense reporting, and projects, along with all other administrative tasks requiring confidentiality, initiative, and sound decision-making.
What you’ll do as the Executive Assistant:
- Manage the Executives calendar, ensuring they are prepared and on time for all meetings and meeting deadlines
- Manage senior level executive communications, including taking calls, responding to emails and interfacing with internal stakeholders and clients
- Schedule meetings and appointments and manage details (meeting agendas, conference/video call meeting setups, etc.)
- Attend executive, creative and operations meetings (as needed), taking notes and tracking follow-up items
- Track priorities and to-do items
- Coordinate executive travel (book flights, build itineraries, investigate transportation options, etc.) and manage expense reports
- Support sales team events with location research, travel itineraries, catering and other tasks need to ensure the success of in person events
- Prepare presentation materials
What you’ll bring as the Executive Assistant:
- 5+ years of relevant experience working as an assistant/coordinator for senior leadership
- Strong organizational, project management, and problem-solving skills with exceptional multi-tasking abilities and attention to detail.
- Ability to communicate professionally, clearly and ask for help when needed
- Ability to wear many hats and work independently
- Advanced Microsoft Office skills, (Word, PowerPoint, and Excel. Advanced proficiency in Google Suite), with an ability to become familiar with specific programs and software.
- Experience exercising discretion and confidentiality with sensitive company information.
- Excellent interpersonal, verbal, and written communication skills
- Willingness to chip in outside of core responsibilities as needed
- Must have excellent judgment, be an independent thinker and resourceful
- Occasional travel may be required
