Glasgow University Union is looking for a dynamic, experienced Conference and Events Sales Coordinator.
Immersed within the campus of Glasgow University and with over 100 years of history, Glasgow University Union is a thriving students union with multiple bars, catering facilities and an established Conference and Events business. As such we are recruiting to help shape and enhance the Conference and Events Sales team within the Union.
Reporting to the Conference and Events Manager, the successful candidate will effectively work within an events team in arranging all on-site events which include weddings, conferences, student social events, birthday parties and banquet dinners.
The successful candidate will ensure that an efficient, friendly and detailed service is provided to all clients and guests at all times. They will be responsible for invoicing, taking payments and presenting detailed documentation to support other operational departments and to liaise with team to ensure future business.
Job Specification
- To co-ordinate all Conference and Events bookings from enquiry stage through to booking completion in conjunction with Conference and Events Manager.
- Be responsible for a diary booking system which deals with student events and bookings as well as corporate events.
- To issue clear and concise banqueting and event sheets to a high level of accuracy to events team and all other departments ensuring all relevant information is provided.
- To liaise with Catering department and Conference and Events Manager to ensure that we meet client requirements.
- To manage clients through planning stages and to take responsibility for all payment deadlines and to ensure that final payments are made within company timelines.
- To accurately quote and invoice clients.
- To help maximise profits and drive departmental sales.
- To attend trade and wedding shows when required.
- To network with external clients and with student clubs and societies.
- This role may occasionally involve weekends, evenings and public holidays as required.
Candidate Specification
- Experience in Conference and Events Sales is essential and a relevant qualification in C&E would be an asset.
- Supervisory experience.
- Knowledge of invoicing and finance.
- Ability to communicate professionally with clients and colleagues.
- A proactive, self starter who is able to work within a team as well as individually.
- Excellent time management and organisational skills.
- Must possess well developed computer skills and be familiar with booking systems.
- Attention to detail and ability to multi task are essential as well as a passion for events and a desire for continual departmental improvement.
- Must be eligible to live and work in the UK.
