We are seeking a reliable and detail-oriented individual to join our team as a Mailroom & Parcel Assistant, where you will be part of a team of 15 Rapport Ambassadors. This role plays a vital part in ensuring the efficient handling, delivery, and tracking of mail and packages within our residential towers. You will be responsible for maintaining a well-organised mailroom, delivering parcels to residents, and providing timely communication and support regarding deliveries.

The ideal candidate will have strong organisational skills, excellent communication abilities, and the physical capability to manage manual handling tasks such as moving trolleys and parcels. A commitment to confidentiality, safety, and high service standards is essential.

This is an exciting opportunity to be part of a dynamic environment, where you will interact with residents, couriers, and internal teams to help ensure seamless parcel management across the property.

Type of contract: Full-time, Permanent

Hours: 40 per week (5 days per week Monday-Sunday; shift rota basis between 7 AM and 10 PM – regular shift pattern is Monday-Friday 10 AM – 7 PM, however this could change depending on the business needs, therefore full flexibility is required)

Main responsibilities

  • Mail and Package Handling: Sort and distribute mail and packages to appropriate residents or individuals.
  • Storage and Mailroom Maintenance: Keep storage and mail areas organised and tidy.
  • Package Delivery: Deliver packages to pre-booked apartments or on-demand residents.
  • Package Logging: Accurately record all received packages.
  • Delivery Documentation: Track packages delivered to apartments or individuals.
  • Resident Notification: Inform residents when large parcels are received and request collection.
  • Delivery Reminders: Send reminders for uncollected packages awaiting delivery.
  • Oversized Parcel Reporting: Notify the Guest Service Manager/Team Leader about oversized parcels.
  • Courier Guidance: Direct couriers on delivery procedures.
  • Resident Communication: Keep residents informed about parcel procedures and any updates.
  • Missing Parcel Reporting: Log missing parcel reports and initiate investigations. In unresolved cases, escalate to management and security, and update the missing parcel tracker.
  • Confidentiality: Ensure confidentiality in all interactions and maintain resident/client information securely.
  • Health & Safety: Comply with health and safety regulations, especially concerning hazardous materials.
