As part of our continued growth, we are seeking a Client Services Lead to join our Operations Team. This pivotal role is designed for someone who takes genuine pride in creating gold-standard experiences – for both our clients and our internal team.
Purpose of the Role
The Client Services Lead is the front face, first impression, and behind-the-scenes engine of excellence for our office. This multifaceted role combines high-level client care with operational precision – ensuring that every enquiry, interaction, and environment reflects our values and standards.
From expertly handling new enquiries and managing client billing, to maintaining a seamless office environment and supporting internal teams, you’ll be central to making sure everyone – client or colleague – receives the highest level of service.
Key Responsibilities
1. Client Enquiry Handling & Conversion
- Be the first point of contact for all new client enquiries via phone, website or email, offering a warm, informed and reassuring introduction to our services.
- Take the time to understand client needs and guide them confidently through the enquiry process.
- Work closely with legal teams to ensure timely follow-up and conversion of high-quality enquiries into active matters.
- Champion our firm’s reputation by delivering consistent, outstanding first impressions.
2. Client Billing and Financial Support
- Prepare and issue client invoices accurately and on time, in coordination with legal teams and the finance department.
- Take client payments in a secure, professional, and client-friendly manner – in person or over the phone.
- Support the firm’s financial operations through:
- Managing licence renewals and office subscriptions.
- Processing team expenses and submitting them for approval.
- Supporting procurement of goods and services in line with budgets and operational needs.
- Monitor payment progress and assist with client debt follow-ups in a manner that preserves trust and professionalism.
3. Compliance and Case Management
- Maintain accurate and up-to-date client records within the case management system.
- Ensure compliance with internal procedures and regulatory requirements, including Anti-Money Laundering (AML) documentation and checks.
- Act as a point of contact for routine compliance queries and liaise with central support teams as needed.
4. Office Environment, Facilities & Administrative Support
- Ensure the office operates to the highest standard every day – clean, functional, well-stocked and welcoming.
- Coordinate office utilities, supplies and IT needs, working with external providers and internal teams to resolve issues promptly.
- Deliver administrative support across the office, including handling post, scanning, photocopying, and assisting with file management.
- Take responsibility for ensuring meeting rooms, kitchens, and common areas are impeccably maintained, contributing to a productive and positive workspace for all.
5. Client Journey & Visitor Experience
- Deliver a seamless, five-star experience for every client visiting the office – from a warm welcome to thoughtful details that create comfort and confidence.
- Prepare meeting rooms with care, including refreshments, materials and any specific client needs.
- Constantly look for ways to improve the client journey and exceed expectations at every touchpoint.
