Are you an organised and reliable individual who can prioritise, multi task and is an admin wizard? If so, this might be for you....

This role is all about helping us to deliver more within our communities, its about getting things off the ground, taking a project brief and turning it into something that’s deliverable, measurable and impactful. You’ll be the central cog as new projects and services are turned into reality and handed over to the operational teams for day-to-day delivery. You'll also be on hand to support the wider business development team too, whether this be help to organise and deliver a stakeholder event, taking minutes at key external meetings or keeping things structured and organised.

Administration Officer, a typical day might include:

  • Organisation is key for project mobilisations including the smooth handover to the operational teams, ensuring they have everything they need for a successful start
  • Coordinating contract signing and pre-mobilisation compliance checks for new contracts, alongside working with the Data and Performance Lead to establish reporting mechanisms ensuring project KPI's are profiled, measurable and reportable, and were able to showcase project impact
  • Working with finance colleagues to ensure project codes are set up, budgets are added to forecasts and the operational team fully understands profiled project spend
  • Ensuring everyone knows of their reporting responsibilities, both to ensure internal assurance and to the funder. Dates, deadlines and reporting templates are shared, understood by all who need them and are easily accessible.
  • Supporting the wider team with general administrative tasks such as raising purchase orders, taking minutes and booking meetings
  • Working with projects you will support the set-up of processes where required, ensuring delivery of efficient, effective and maximises value for money for our funders and customers
  • You’ll work with procurement colleagues and contract managers to leverage more income where possible, firmly establishing, measuring and sharing the wider social value impact delivered through our suppliers
  • Working with the growth manager researching and pulling together information for new ideas and services


Some of the experience/skills we need to consider you:

  • Solid administrative and organisational skills
  • A great communicator, ensuring everyone knows what they need to do and by when
  • A practical thinker who understands the steps needed to start something from ground zero all the way to launch
  • An ability to use your persuasive and negotiation skills to ensure buy in across departments and actions to be completed at pace when needed
  • A relationship builder, working with others from across our organisation and our external partners including local authorities, councillors, health organisations, emergency services and funders - all working collaboratively to make a bigger impact for our communities
  • An eye for detail - with meticulous organisation skills to ensure deadlines are met and people are kept informed
  • The ability to foster collaboration, adapt to change, and manage resources effectively
  • An ability to be flexible in a dynamic and ever evolving environment and the ability to be able to be self motivated whilst focusing on key tasks
  • An organised thinker, able to methodically work through the mobilisation process to ensure projects and services are successfully launched and able to be delivered as intended


What will make you stand out from the crowd:

  • Experience of contract mobilisation and project start up would be highly beneficial
  • An understanding of cost modelling and budgets would be ideal but not essential
  • Experience in handling sensitive information with professionalism and integrity whilst achieving positive results.
  • A hands-on approach to managing budgets, policies, and safeguarding processes
  • An approachable, empathetic, and resilient nature
  • Experience of events, stakeholder contact and research – or anything in this related field
