The answer here is always yes even before the question has even been expressed, we always aim to go above and beyond.We are seeking a highly organised and detail-oriented Wedding Sales and Events Planner to join our team. You will work closely with the Hotel Manager, Events Administrator and Events Supervisor to ensure the smooth and efficient execution of events. This position will involve sales, administrative duties with general office tasks and on-site event management, from show arounds of potential clients securing their bookings, ensuring vendors and suppliers are coordinated along with in-house equipment, pre-orders of food, table plans and delivery of all that has been arranged on the day.
Responsibilities:
- Collaborate with the Hotel Manager, Events Administrator and Events Supervisor to plan, coordinate, and execute various types of events, including conferences, parties and weddings.
- Book and coordinate vendors, such as decorators, and entertainment, ensuring their availability and adherence to event requirements.
- Maximise sales by upselling the hotel menus, bar offerings and bedrooms.
- Be creative and propose, cost and coordinate in-house events throughout the year to utilise our event spaces and hit budget.
- Work with the Events Administrator to manage guest reservations and communicate event details, timelines, and logistics to ensure a seamless guest experience.
- Provide on-site support with the assistance of the Events Supervisor during events, overseeing event setup, resolving any issues or concerns, and ensuring the smooth flow of activities.
- Perform general office duties, including maintaining event calendars, preparing reports, and managing event-related documentation.
- Multitask and prioritise duties effectively while working under pressure to meet deadlines and deliver high-quality events.
- Work independently as well as collaboratively with team members to ensure successful event planning and execution.
- Utilise standard office software programs, such as Excel, Word, and Outlook, to complete daily or weekly tasks accurately. Have knowledge of hotel booking systems for room hire and bedroom bookings.
- Generate sales by seeking new connections and opportunities with our client base.
Requirements:
- Minimum of 2 years of event planning experience, with a strong understanding of coordinating various types of events.
- Excellent multitasking and prioritisation skills, with the ability to work efficiently under pressure.
- Strong organisational skills and exceptional attention to detail.
- Excellent written and oral communication skills to effectively interact with clients, vendors, and team members.
- Proficiency in Microsoft Office applications, including Word and Excel.
- Ability to read and interpret documents such as safety rules and operating instructions.
- Must be fluent in written and spoken English to effectively communicate with clients, vendors and team members.
- Be a very sales-orientated individual.
- Be flexible in availability with the ability to commit to working Fridays & Saturdays and variable shifts as business dictates, four/five days over seven days per week.
