Role: Temporary Finance & Administration Assistant
Hours of Employment: 18 hours per week - M/Tu/Th/F 9-13:30, 38 weeks (Term Time Only) to include some Inset days with advance notice and an additional 5.8 weeks paid holiday allowance.
Salary: WSCC NJC Grade 4 point 5-6 £24,790 - £25,183 FTE – (Pro Rata- Gross actual salary £10,158)
We would like to appoint a conscientious, dedicated Finance and Administration Assistant to join our enthusiastic and hardworking team. The role will involve working closely with the School Business Professional and alongside the Head teachers and school secretaries in both schools.

Job Description: Temporary Finance & Administration Assistant
Accountable to: School Business Professional (SBP)
MAIN PURPOSE OF THE FINANCE & ADMINISTRATION ASSISTANT ROLE:
Ensure efficient and compliant finance functions across both schools and to assist School Business Professional (SBP) with administration relating to HR and Estate Management tasks.
Responsibilities:
- Working alongside the SBP to provide support services in the administration of school budgets.
- Generating reports for SBP as directed.
- Assist SBP in research for potential bids for school grants and assist with progressing school managed projects.
- Be responsible for ordering all school supplies and ensuring goods are received/checked and stored safely and promptly. Invoices processed in a timely manner by using the schools finance system (BROMCOM).
- Reconcile Bank and Credit card statements monthly.
- Produce interschool recharge spreadsheet monthly and liaise with school secretaries regarding School Fund.
- Assist SBP with the up keep of the Single Central Register, to include carrying out DBS & Pre- employment checks as required for staff, volunteers, contractors etc.
- Support the SBP with filing and archiving and other administrative functions.
- Liaise with variety of outside agencies, staff, parents/carers and pupils.
- Produce monthly returns to West Sussex County Council, including absence returns, overtime returns and staff travel expenses.
- Book staff training via West Sussex Services for Schools and external agencies.
- Log IT issues with IT provider.
- Act as point of contact for school Wraparound provision/income
- Maintain asset registers.
- Maintain Health and Safety Training matrix.
- Maintain log of Licences and Subscriptions and negotiating renewals.
- Occasional ad hoc cover for school secretary, answering phone, greeting parents & taking messages.
