The role of the banks Property department through its Infrastructure Engineering team, is to maintain, enhance and support the occupied building environment, and to provide excellent engineering services for all Bank staff. In addition to maintaining and supporting the Bank’s primary business function, The Property team has responsibility for significant annual capital investment, supports business continuity, strategic health & safety management, internal & external events, general building facilities (switchboard, help desk and reception), catering, cleaning, post services and travel team whilst ensuring value for money is achieved in all Bank wide procurements.

The Property department’s overall mission is to maintain, enhance and protect the Bank’s building environment including its engineering systems and to provide resilient services to maintain business as usual functionality.

The Engineering team comprises <56 FTE and covers the Bank’s (x3) core properties located in London & Debden (Essex). The London properties, comprise of (x2) properties; the Banks grade 1 listed Head Office at Threadneedle St and a more traditional modern office building at 20 Moorgate. Our property located at Debden is the Banks print works. All (x3) buildings are extremely critical to the Banks operations and possess various levels of critical systems to support those operations.

The Engineering team is responsible for maintaining and operating all installed engineering systems, providing reliable and resilient operations 24x7x365 across office, data centre, front/back office and production environments, consequently a wider breadth of engineering exposure exists.

Role Responsibilities

The scope of services to be provided by the engineering team Senior Administrator are as follows but are not exhaustive.

  • Line management responsibilities for Administrator/s.
  • Validation and assurance of all administrative reports and metrics.
  • Provide administrative support to the infrastructure management team.
  • Responsible for accurate Infrastructure commercial reporting and accounting.
  • Support the management team across day to day purchasing and invoicing.
  • Maintain the Help Desk function as key supplier interface contact.
  • Management, collation, and presentation of various performance metrics.
  • Validate monthly Infrastructure and 3rd party KPI and SLA indicator reporting.
  • Attend meetings as required to present administrative reports.
  • Validate and assure budget reporting, providing accurate monthly reports.
  • Function as 3rd party escalation for all 3rd party administrative tasks.
  • Assure a team business continuity plan is maintained.
  • Engage with all 3rd party specialist contracts to assure commercial compliance.
  • Assure the IWMS and Help Desk system is maintained in functional working order.
  • Maintain individual Training Need Assessment and schedule all training schedules.
  • Support Health & Safety and Well-being across the Infrastructure Team
  • Assure all Statutory property logbooks are in a good state of presentation.
  • Maintain an annual Property Impact Schedule working with management.
  • Key recruitment liaison for the infrastructure team.
  • Responsible for all Infrastructure team on-boarding.
  • Manage and audit team holidays, expenses, sickness on monthly basis.
  • Maintain accurate shift schedules across the various teams and properties.
  • Manage a Compliance database of all statutory testing and certification.
  • Organise team CPD sessions as required.
  • Support the infrastructure management team across administrative type tasks.

Role Requirements

Minimum Criteria

  • Minimum City & Guilds Level 2/3 (or transferable) Business & Administration
  • IOSH Managing Safely qualification.
  • Experience working in an engineering administrative type environment.
  • Excellent grasp of Microsoft Office – Word; Excel and PowerPoint.

This is a people management role. You will be responsible for day to day management of the team and for defining roles and responsibilities. You will develop your team through sharing information effectively, coaching and communicating a clear vision to ensure that your staff are productive, engaged and motivated to deliver the area's aims. This will include setting clear goals and smart stretching objectives that are aligned to those of the team, division and directorate. You will also be responsible for managing all staff-related matters that may arise including performance, absence and sickness.

Salary and Benefits Information

We encourage flexible working, part time working and job share arrangements. Part time salary and benefits will be on a pro-rated basis as appropriate.

This role offers a salary of circa £30,000. In addition, we also offer a comprehensive benefits package as detailed below:

  • Currently a non-contributory, career average pension giving you a guaranteed retirement benefit of 1/80th of your annual salary for every year worked. There is the option to increase your pension (to 1/65th) or decrease (to 1/105th) in exchange for salary through our flexible benefits programme each year. The Bank has the discretion to vary standard accrual rates and dial up and dial down rates at any time and to withdraw dial up and dial down options at any time.
  • A discretionary performance award based on a current award pool.
  • An 8% benefits allowance with the option to take as salary or purchase a wide range of flexible benefits.
  • 26 days’ annual leave with option to buy up to 12 additional days through flexible benefits.
  • Private medical insurance and income protection.
