Part-Time Receptionist/Administrator (Maternity Cover – 9 Months)
2 days per week, Mondays and Tuesdays
Brighton Physiotherapy Clinic is looking for a flexible, well-organised and confident person to join our fantastic and friendly team.
This is a part-time maternity cover position for 9 months, working 2 days per week (Mondays and Tuesdays). The role is a job-share and will be based at our main site in Kemptown.
We provide a wide range of outpatient physiotherapy services, including musculoskeletal, vestibular rehabilitation, women’s health and sports massage.
We are seeking a customer-focused, friendly and responsible individual who can provide excellent service, working both independently and as part of a team. You should be dynamic and forward-thinking, able to identify opportunities to improve systems and to promote our services. Experience in a clinic setting and knowledge of physiotherapy practices would be an advantage.
As this is a front-of-house role, you will need excellent communication skills, a professional yet approachable manner, and the ability to instil confidence in patients and staff. Diplomacy, patience and pragmatism are essential.
The role requires strong multitasking skills, as you may be handling payments at the desk, answering the phone and responding to emails simultaneously, while also assisting clinical staff. You will need to remain calm under pressure, prioritise effectively, and ensure that tasks you have set aside are completed once more urgent matters are resolved.
You should be able to manage your own workload, use initiative, and make decisions within agreed guidelines. Strong IT skills are essential, including the ability to work from home if required.
Main Duties
- Act as an ambassador for the clinic, ensuring excellent customer service at all times
- Welcome patients in a warm, professional manner to put them at ease
- Communicate clearly with clients, referrers and therapists both face to face and by telephone
- Take payments confidently in person and over the phone
- Manage bookings, diaries and clinical notes using Jane.app across 3 sites
- Handle administrative tasks, including typing correspondence, invoicing insurers, managing insurance portals and overseeing clinic supplies
- Maintain accuracy and attention to detail in all administrative work
- Be quick to learn and manage processes for invoicing different insurers and handling remittances
- Assist with stock control and product sales
- Liaise with technical support when needed
- Use social media platforms (Instagram, Facebook) to promote clinic services
- Ensure reception and clinic areas are clean and tidy, including managing laundry and light housekeeping tasks
- Process and distribute incoming and outgoing correspondence
- Order and maintain office and clinical supplies
- Ensure compliance with data protection requirements
- Be punctual, reliable and trustworthy
