We are seeking a highly organised and detail-focused individual to assist and support the Procurement Manager and Head of Field Services in managing Puffin Produce Ltd’s grower base and supply programme. This role is crucial in ensuring smooth grower relations, accurate returns, market-responsive pricing, and full compliance with raw material intake procedures.
Main Responsibilities:
Grower Management & Support
- Assist in managing the Puffin grower base and raw material supply programme.
- Maintain regular weekly communication with growers regarding crop usage, quality feedback, pricing, and payments.
- Manage and process grower return payments on a weekly basis.
- Analyse return data to develop a complete data set per grower and support strategic reporting.
Raw Material Planning & Compliance
- Manage the day-to-day raw material compliance procedures.
- Update and maintain raw material packout predictions, ensuring a clear flow of communication internally and externally.
- Monitor crop usage vs. plan, including B price tracking and contract fulfilment.
Certification & Documentation Management
- Ensure timely collection and validation of all legally required grower documentation and certifications (Red Tractor, LEAF, SEDEX, pesticide records, etc.).
- Maintain accurate grower and supplier data in BrightEye, including certification expiry dates.
- Monitor and manage MRL testing requirements for free buy loads exceeding 100 tonnes.
Operational & System Administration
- Attend raw material wash-up meetings and relay key insights to the wider business.
- Set up and maintain grower, variety, seed, and county records in BrightEye.
- Manage contract documentation (both hard copy and system-based) including A/B splits and grower declarations.
- Follow delivery schedules and verify intake paperwork (e.g., passports), updating customer portals accordingly.
- Maintain a centralised, well-organised digital record system accessible to all relevant departments.
Key Skills and Experience:
Ability to work cross functionally with other departments
Ability to use data and insights to create corrective plans
Well-developed organisational skills and excellent attention to detail
Financial awareness and commercial acumen
Self-motivated with the ability to manage their own timetable and deliver results
Use of Excel will be required
Strong communication skills, both written and verbal.
Ability to work independently as well as part of a team in a fast-paced environment.
Previous experience in an administrative role is preferred but not essential.
Qualifications
L3 Business Qualification is desirable.
This role is office-based, Monday to Friday - 8.30am - 4.30pm.
