Earth Nrg is a small but rapidly growing company in the heat pump industry, specialising in the installation, servicing, and maintenance of heat pump systems. We are seeking a dedicated and professional Office Administrator to join our team at our premises in Ashwell, Oakham.
Job Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our growing team in the heat pump industry. The ideal candidate will possess strong administrative skills and a proactive approach to managing office tasks. This role is essential in ensuring the smooth operation of our office environment, supporting both staff and clients with professionalism and efficiency, and contributing to the successful delivery of our heat pump installation and maintenance services.
Duties
- Manage daily office operations, including scheduling heat pump consultations, installations, and maintenance appointments for our technical team.
- Perform data entry tasks accurately and efficiently, including entering customer information and project details into our CRM system.
- Handle incoming calls with excellent phone etiquette, directing inquiries regarding heat pump systems, service requests, and new installation quotes.
- Managing system processes using our chosen software programmes.
- Utilise Google Workspace for various administrative tasks, including Google Drive and Gmail.
- Be proficient with bookkeeping duties using Xero, including invoicing for completed installations and tracking project-specific expenses related to parts and labour.
- Provide clerical support to on site projects as needed, including creating work orders for our installation team and preparing proposals for the sales team, ensuring effective communication across the organisation.
- Manage Human Resource requirements
Experience
- Previous office experience is essential, with a proven track record in an administrative role.
- Experience in the plumbing and Heating, renewable energy, or other home services industries is highly desirable.
- Strong computer skills.
- Familiarity with Xero or bookkeeping is highly desirable.
- Excellent organisational skills with the ability to manage multiple tasks simultaneously.
- Proficient typing skills with attention to detail for data entry tasks.
- Prior clerical experience will be an advantage.
- Self motivated
- Happy to work independently
