We are looking for a proactive and experienced Maintenance Administrator & TOC Assistant to join our team immediately. This role is ideal for someone with a maintenance or construction administration background who can confidently assist with scheduling, coordination, and office operations from day one.
You will work closely with the Trade Team Coordinator (TOC) to ensure smooth daily operations, organize jobs for our maintenance team, and handle client communication and admin tasks. This role offers a clear path to progress into a full TOC position with a salary review as your responsibilities grow.
Key Responsibilities
- Assist with Scheduling & Coordination: Work alongside the TOC to plan daily jobs, allocate trades, and maintain operational efficiency.
- Client Communication: Handle calls, updates, and enquiries with professionalism and a solutions-focused approach.
- Supplier Liaison: Arrange and track material orders, deliveries, and returns.
- Record Keeping: Maintain accurate job logs, schedules, and operational reports.
- Quotations: Support the preparation of estimates and quotes (SOR training provided).
- Operational Support: Provide direct support to the TOC on all operational tasks and step in as needed to keep work flowing smoothly.
Requirements
- Experience: Minimum 1 year of admin experience (maintenance, facilities management, or construction admin preferred).
- Skills: Strong organizational, communication, and multitasking abilities.
- Attitude: A proactive, problem-solving mindset with the ability to work under pressure.
- Other: Driving licence preferred.
Salary: £25,000 per year (with review as responsibilities grow).
