The role of the Gate House Coordinator is to be responsible and accountable for booking in and out vehicles with attention to detail to vehicle features and account requirements. Ensure the security, safety, and efficiency of the storage processes within the Loughborough site.
· Key Management – Ensuring all vehicle keys are securely stored on the correct peg, logged, and tracked.
· Issuing & Returning Keys – Keeping a record of who takes and returns keys and ensuring only authorized personnel have access.
· Security Compliance – Making sure the key room is locked when not in use and following security protocols to prevent unauthorized access.
· Inventory Checks – Conducting regular audits of keys to confirm all keys are accounted for and reporting any missing or unreturned keys.
· Log Maintenance – Keeping accurate logs of key movements, vehicle assignments, and any incidents related to missing or misplaced keys.
· Reporting Issues – Notifying management of any lost keys, security breaches, or process inefficiencies, for example, vehicle location not marked on Key Tags when they have been parked up.
· Key Replacement & Duplication – Coordinating with locksmiths or management for key replacements if necessary.
· Compliance with Company Policies – Ensuring all key handling procedures align with the company’s regulations and policies.
· Emergency Response – Assisting in locating and retrieving keys during urgent situations.
· Taking Telephone Calls from drivers and arranging for the outbound vehicles to be pulled on a timely basis, ready for when the drivers arrive on site, to prevent any unnecessary delays, resulting in waiting time being paid.
