Fleet Administrator
Location: Pinxton
Salary: £25,500 - £30,000 DOE
Contract Type: Full-Time / Permanent
Hours: 40 hours (Mon- Fri, 9am to 6pm)
About the Role
We are seeking a highly organised and proactive Fleet Administrator to support the daily operations of our Fleet Department. This is a key role that ensures our HGV fleet remains roadworthy, compliant, and efficiently maintained. You will work closely with the Compliance Manager and other internal teams, as well as liaise with subcontractors and third-party maintenance providers.
Key Responsibilities
- Schedule and coordinate MOTs, servicing, brake tests, and general maintenance.
- Maintain accurate records of all fleet maintenance for internal and external audits.
- Manage and categorise vehicle defects, prioritising repairs.
- Administer fleet systems including SmartCheck and ensure timely updates.
- Liaise with operations teams to minimise disruption during vehicle downtime.
- Coordinate repairs and servicing with on-site and third-party providers.
- Manage documentation including vehicle folders, insurance claims, and compliance paperwork.
- Track and report on fleet-related expenditure.
- Administer driver fines (parking, speeding, tolls) and maintain status records.
- Ensure vehicles are correctly registered on congestion systems and operator licences.
- Oversee temporary vehicle and trailer management.
- Attend daily/ weekly admin meetings and represent the fleet team.
Person Specification
- Previous experience in a transport or fleet environment is essential.
- Excellent attention to detail and a charismatic, positive demeanor.
- Strong communication skills and a confident telephone manner.
- Ability to manage workload independently and handle conflicting priorities.
- Proficient in MS Excel and other Microsoft Office applications.
- Understanding of budgets and cost efficiency.
- Experience with SmartCheck, TruTac, and OLAT systems (training provided if needed).
- CPCTM qualification is desirable.
